HGreg.com has been in the business over two decades and has more than 22 privately owned dealerships throughout North America and we’re growing! We are looking for a sharp, friendly and hard working Administrative Assistant reporting to the VP of Operations.
- Completes a broad variety of administrative tasks for the VP of Operations including: managing an extremely active calendar of appointments, composing and preparing correspondence, and preparing PowerPoint presentations.
- Plans, coordinates and ensures the VP of Operations’ schedule is followed and respected.
- Communicates directly, and on behalf of the VP of Operations, with vendors, agencies, and others, on matters related to VP of Operations initiatives.
- Must be excellent with Microsoft Office.
- Sits in on meetings along with, or occasionally, on behalf of the VP of Operations and takes complete and thorough notes to present a recap report or briefing.
- Provides a bridge for smooth communication between the VP of Operations’ office and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff.
- Works closely and effectively with the VP of Operations to keep him well informed of upcoming commitments and responsibilities.
- Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the VP of Operations, some of which may have organizational impact.
- Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgment letters, personal correspondence, and other tasks that facilitate the VP of Operations’ ability to effectively lead the company.
- Handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
Job Requirements:
- Education: Bachelor’s degree
- Must be able to type at least 70 words per minute.
- Experience: Minimum of three (3) years of experience supporting C-Level Executives.
- Skills: Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, and external partners.
- Demonstrate high-level written and verbal communication skills.
- Demonstrate proactive approaches to problem-solving with strong decision-making capability and emotional maturity.
- Highly resourceful team-player, with the ability to also be extremely effective independently.
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
- Demonstrate the ability to achieve high-performance goals and meet deadlines in a fast-paced environment.
- A forward thinker who actively seeks opportunities and proposes solutions.
- Technologically literate with strong Microsoft Office skills including Excel,Word, PowerPoint and other commonly used software. Maintains professional appearance and demeanor.
